Privacy Policy

Vantice is a product of InvoHive (ABN 87 690 006 378). This Privacy Policy explains the types of information Vantice may collect or store, why that information is used, and the choices available to users.

Vantice is primarily designed for Australian sole traders and small businesses. This policy should be read together with the Vantice Terms of Use.

1. Information you provide

Depending on the features you use, Vantice may store information you enter into the app, including:

  • account information such as name, email address, authentication provider and verification status;
  • business profile information such as business name, ABN, contact information, logo and GST settings;
  • customer information such as customer or business name, email, phone number, address and ABN where entered;
  • quotes, invoices, line items, document dates, payment terms and notes;
  • Money In and Money Out records, categories, payment methods, job or site references and GST information;
  • payment instructions that you choose to store or place on documents, such as bank details or PayID;
  • tax-related settings, report-period selections and accountant export data;
  • receipt images and other files that you choose to attach to business records.

2. Camera, Photos and Files

Vantice may request access to the camera so you can capture a receipt image for a Money Out record. You may also choose an existing receipt image from Photos or attach a supported file from Files.

At launch, automatic receipt OCR is not relied upon as a live production feature. Receipt scanning/OCR may be shown as a coming-soon capability while manual receipt attachment remains available.

3. Authentication

Vantice uses Firebase Authentication to provide account access. Current sign-in methods may include email/password and Google sign-in. Additional sign-in methods, such as Sign in with Apple, may be introduced later.

4. Cloud services and storage

Vantice uses Google Firebase services to operate core functionality. This includes Cloud Firestore for structured user and business records and Firebase Storage for user-scoped files such as business logos and receipt images. Firebase Realtime Database is not currently used by Vantice.

5. How information is used

Information is used to provide and maintain Vantice features, including account access, business record management, quotes and invoices, payment and expense tracking, GST summaries, document generation, accountant exports, synchronisation and customer support.

6. Analytics and diagnostics

The Firebase project may have analytics capabilities available, but active app-usage collection can change over time. If Vantice later enables additional analytics, diagnostics or monitoring features, this policy may be updated where required.

7. Card payments

Vantice does not process customer card payments. If you choose to add bank details, PayID or other payment instructions to your records or documents, those details are used to support your own payment workflow.

8. Account deletion

Users can initiate permanent account deletion from within the Vantice app. The deletion flow is designed to remove the Firebase Authentication account and associated user-owned Vantice data, including user-scoped Firestore records and files stored under that user’s Firebase Storage area.

9. Data retention

Vantice generally keeps account and business data while the account is active and until the user deletes the relevant data or account, subject to operational backups and any legal obligations. Users are responsible for retaining any records they need for accounting, tax or legal purposes before deleting their account.

10. Security

Vantice uses authenticated access and Firebase security controls to help protect user-scoped data. No online service can guarantee absolute security, and users are responsible for protecting their login credentials and device access.

11. Third-party services

Vantice may rely on service providers that support authentication, cloud database, file storage or subscription billing. At launch these may include Google Firebase, Google sign-in services and Apple services where App Store subscriptions or Apple sign-in are enabled.

12. Children

Vantice is a business-management product and is not directed to children.

13. Changes to this policy

We may update this Privacy Policy as Vantice develops. The latest version will be published at vantice.org.
