Privacy Policy

Vantice is a product of InvoHive Pty Ltd (ABN 87 690 006 378). This policy explains what information Vantice handles, why it is used, the service providers involved and the choices available to users.
Vantice is designed primarily for Australian sole traders and small businesses. Where applicable, InvoHive Pty Ltd handles personal information in accordance with applicable Australian privacy requirements, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. Information you provide
Depending on the features you use, Vantice can store:
- account information such as name, email address, authentication provider and verification status;
- business profile information such as business name, ABN, contact information, logo, GST and tax settings;
- customer information such as customer or business name, email, phone, address and ABN where entered;
- quotes, invoices, line items, document dates, payment terms, notes and customer-response status;
- Money In and Money Out records, categories, payment methods, job or site references and GST information;
- payment instructions you choose to store for invoices, such as bank details or PayID;
- receipt images and other files you choose to attach to business records;
- tax-period selections and accountant-export data.
2. Camera, Photos and Files
Vantice may request Camera, Photos or Files access only when you choose to capture or attach supporting files such as receipts. At launch, automatic receipt OCR is not relied on as a core production workflow; manual attachment remains available.
3. Authentication
Vantice uses Firebase Authentication for account access. Supported sign-in methods include email/password, Google sign-in and Sign in with Apple.
4. Cloud services
Vantice uses Google Firebase services for core app operation, including Firebase Authentication, Cloud Firestore, Firebase Storage, Cloud Functions and Firebase Cloud Messaging. These services support account access, structured business data, file storage, secure backend actions and notifications.
Data location: Vantice does not currently promise that all information remains exclusively in Australia. Firebase, Apple and Google may process or store information in regions used by their services and infrastructure. If a strict Australia-only data-residency requirement applies to your business, contact us before relying on Vantice for that requirement.
5. How information is used
Information is used to provide and maintain account access, business records, quotes and invoices, customer quote responses, payments and expenses, GST summaries, document generation, accountant exports, cloud synchronisation, subscription state, notifications and support.
6. Diagnostics, advertising and sale of data
Vantice does not use your business records to target advertising and InvoHive Pty Ltd does not sell your personal information to advertisers. Apple, Firebase and device operating systems may generate technical diagnostics needed to operate, secure and troubleshoot their services. If Vantice materially changes its analytics or tracking practices, this policy and any required App Store privacy disclosures will be updated.
7. Customer quote links
When you send a secure customer quote link, the customer can view and respond to the quote without creating a Vantice account. The public page is designed to expose only customer-facing quote information and response controls, not your private Firebase credentials or internal authentication data.
8. Subscriptions
Vantice Pro subscriptions are purchased and managed through Apple. Vantice receives StoreKit entitlement information needed to determine whether Pro access is active. Vantice does not receive your full payment-card details from Apple.
9. Account deletion
Users can initiate permanent account deletion from within Vantice. The deletion flow is designed to remove the Firebase Authentication account and associated user-owned Vantice data, including user-scoped Firestore records and files under the user’s Vantice storage area, subject to operational backups and legal requirements.
Deleting a Vantice account does not automatically cancel an active App Store subscription. Apple subscriptions must be managed separately through the Apple Account subscription controls.
10. Data retention
Vantice generally keeps account and business information while the account is active and until the user deletes relevant records or the account, subject to operational backups and any legal obligations. Users are responsible for retaining records they need for accounting, tax, contractual or legal purposes before deleting them.
11. Security
Vantice uses authenticated access, Firebase security controls and app-level security features to help protect user-scoped data. No online service can guarantee absolute security. Users remain responsible for protecting their device, login credentials and any payment instructions stored in the app.
12. Third-party services
Core providers include Google Firebase, Google sign-in services and Apple services such as Sign in with Apple, StoreKit and push-notification infrastructure. Those providers process information under their own terms and privacy policies.
13. Children
Vantice is a business-management product and is not directed to children.
14. Changes to this policy
We may update this Privacy Policy as Vantice develops or its service providers change. The latest version will be published at vantice.org/privacy.html.
